SUMMARY OF ASSIGNMENTS:
One of Washington's premiere emerging charter schools, The Village Academy, is seeking outstanding candidates to perform secretarial duties. Successful candidates will demonstrate a strong ability to prioritize character development, laughter and joy, and respect for all diversity.
Provide receptionist services in a positive and enthusiastic manner. Answer multiline phone promptly, courteously, and with the goal of improving public relations and providing accurate information. Transfer callers to appropriate departments and, when possible, answer Community Relations and general inquiries. Provide varied information such as current events, phone numbers, maps, calendars, and addresses.
Perform related Community Relations duties, including marketing, special events, public relations, and communications tasks as needed.
Monitor parking lot to deter vandalism and disruptive individuals; unloading and loading of supplies and equipment; and ingress and egress of repairmen. Deescalate disruptive individuals and handle unauthorized solicitors, aiding them to leave building in a timely manner. Handle daily deliveries such as floral and luncheon deliveries, educational materials, UPS, Airborne, and Federal Express. Direct individuals to appropriate departments as requested.
Assist Community Relations Director in accurate maintenance of volunteer database of over and associated reports. Receive, process and maintain all volunteer applications which include background checks. Assemble, maintain, and disseminate volunteer and information packets.
Maintain written schedule of boardrooms, ensuring proper time for custodian to arrange rooms noting number of people, equipment needed, and room arrangement. Record equipment checked out of building, maintaining written record of where/when for check-in and check-out. Notify public and staff of meetings using computerized reader board, intercom, and easels. Order supplies for reception area.
Assist custodian and mailroom clerk in passing along messages. Relay requests to custodian, mailroom clerk, and other personnel. Record and maintain administration building hours and days of operation, and update telephone messages accordingly.
Demonstrated ability and aptitude to perform the responsibilities listed.
High school diploma or equivalent; additional secretarial/business education preferred.
Two years of recent secretarial/clerical work experience required.
Keyboarding skill at 40 words per minute.
Demonstrated excellence in current grammar, punctuation, and spelling practices.
Demonstrated ability to utilize a variety of software programs such as Windows, which includes MS Word or WordPerfect, Powerpoint, Publisher or related software, IFAS, payroll software, Excel or spreadsheet software, Nutrition Services food program software, School Dude, and PowerSchool. Familiar with Apple software.
Demonstrated record-keeping abilities and organizational skills.
Knowledge of additional office equipment specific to the position.
Relates positively to youth and adults of varying socioeconomic, cultural, and ethnic backgrounds of varying ability levels.
Demonstrated ability to work positively and effectively with a diverse group of staff and community in a confidential manner.
Strong consideration will be given to bilingual applicants.
ADDITIONAL PREFERRED QUALIFICATIONS:
Familiar with unique school structure and APPLE.
Right Response or Mandt training.
Experience with visual/ hands on teaching methodologies.
Knowledge and understanding of FAPE, 504, and IDEA
